Assemble tasks
Not every piece of production work deserves a whole work order. Assemble tasks is a simple, shared to-do list for the things that still need tracking: “clean the jig before Thursday”, “chase the vendor about the hinges”, “quality-check the batch that came back”.
It has its own entry in the app nav — Assemble Tasks — and it is a list page like the others: views, search, filters, a column picker and a bulk bar.

What a task carries
Section titled “What a task carries”| Field | What it is |
|---|---|
| Title | What the task is. Required. |
| Description | Longer notes about it. |
| Status | To do, In progress, Done or Cancelled. |
| Priority | Low, Medium or High. |
| Label | What kind of work it is: Production, Assembly, Quality check, Procurement, Material list or Other. |
| Due date | When it is due. A date that has passed shows in red, marked Past due. |
| Flow | An optional assemble flow the task produces, with a Production quantity in units. The cell opens the flow’s preview on the flows list. |
| Order | An optional Shopify order the task belongs to. The cell links out to Shopify. |
| Work order | The work order made for the task, if any — its name, short ID and status. The cell opens the work order. Set by Assemblified, not in the form: see Tasks and work orders. |
Each task also has a short ID you can click to copy, next to its title.
The list
Section titled “The list”The title bar has two buttons: Add task, and Export.
Views. All to start with, plus any view you save. A saved view remembers the search, the filters, the sort order and the columns, and can be renamed, starred as the shop default, or deleted.
Search. Type at least three characters; shorter terms are held back and the field says so.
Filters. Three fields can be filtered: Status, Priority and Label — the three fields from the table above, each of which only ever holds one of a fixed set of values. The other fields can be sorted on but not filtered, except Work order, which can be neither.
Columns. Ten columns are available, grouped in the picker as Identity, Planning, Links and Dates: Task, Status, Priority, Label, Due date, Order, Flow, Work order, Created and Last updated. Task is the one column that can’t be hidden — a task row with no title has no identity at all. Created and Last updated start hidden; turn them on from Display options.
The empty states tell you which one you’re looking at: “No tasks match — try another search term or remove a filter” when a query is on, and “No tasks yet — add a task to track a piece of production work” when the shop simply has none.
Creating and editing a task
Section titled “Creating and editing a task”Add task opens a small form: Title, Description, Status, Priority, Label, Due date, then the two optional links.
- Flow — pick one from the select, or No flow. “Attach a flow to record what this task produces.” With a flow attached, a Production quantity field appears beside it, in units, and you can Change flow or Remove flow afterwards.
- Order — Select order opens the order picker (searchable, filterable by fulfillment status). Once linked you can Change order or Remove order.
Clicking a row opens Task details, a read-only view of everything above with a Created, Completed and Last updated stamp at the bottom, and an Edit button. On a shop without the Enhanced plan the dialog says “Editing tasks requires the Enhanced plan.” instead.
Moving a task along
Section titled “Moving a task along”A task moves along a line: To do → In progress → Done. A task that is Done or Cancelled goes back to To do — “start again” is the only move left from either.
The row’s ⋯ menu is short on purpose: Edit, one status entry that names where the task is going (Move to In progress, Move to Done, Move to To do), the work-order entries below where they apply, and Delete. Cancel is not on the row menu. It is offered in the bulk bar, once you have selected the rows you mean.
Tasks and work orders
Section titled “Tasks and work orders”A task can be linked to one work order. The link comes from one of two places:
- An order. A BOM with Auto-generate material list on creates, for every new order, a draft Material List Only work order named Materials Order #1001 and a task of the same name, labelled Material list, already linked to it. If Assemblified cannot tell which location the order belongs to, only the task is created, and its description says why.
- You. Create work order on a task that has a flow, below.
The status follows the work order. Once linked, the task’s status moves with its work order: a work order that is Draft, Ready or Paused shows the task as To do; In progress, Quality control or QC approved shows In progress; Completed shows Done; Cancelled shows Cancelled. The work order’s own status is the badge in the Work order column. You can still change the task’s status by hand, but the work order’s next status change sets it again.
The row’s ⋯ menu offers up to three work-order entries. Each appears only on the rows it can act on:
| Entry | Appears when | What it does |
|---|---|---|
| Create work order | The task has a flow and no work order yet. | Opens the same create from flow steps as the flows list, on the task’s flow: pick items and quantities, then name, location and the rest. Saving links the new work order to the task and takes you to it. |
| Material list | The task’s work order still exists. | Shows the work order’s pick list as a PDF right in the dialog, with Download and Open work order — no need to download it every time. If the PDF cannot be shown, the dialog says so and offers Download instead. |
| Complete work order | The work order is Material List Only and is Draft, Ready or In progress. | Asks first — “Starts the work order, marks every item picked and completes it. No inventory is moved.” — then starts the work order, marks every item picked and completes it, in one step. The task then reads Done. Never offered for a work order that moves stock. |
All three are disabled, not hidden, on a shop without the Enhanced plan. Once a task’s work order has been deleted, the column shows plain text instead of a link, and the row offers none of them.
Changing several at once
Section titled “Changing several at once”Tick some rows, or select everything the current filters match, and the bulk bar appears with:
- Change status — a dropdown carrying all four statuses, so the bar is where you set an arbitrary target rather than the next step.
- Delete — critical, and last. It asks first: “This deletes N tasks. It cannot be undone.”
A status move has no side effect beyond the row — no inventory, no Shopify, nothing runs in the background — so none of the four asks for confirmation.
Results are reported per task. If some of them could not be changed you are told which, and the banner offers to select the failed rows or retry the failed rows rather than making you find them.
Exporting
Section titled “Exporting”Export in the title bar writes a CSV straight from the rows in front of you: the ticked rows if there are any, otherwise the current page. Seven columns — Title, Status, Priority, Label, Due Date, Flow, Description — in a file named todos-YYYY-MM-DD.csv.
Status, priority and label export as the values the app stores (in_progress) rather than the words on the badge (In progress), so another system can read the file back.
