The materials list

Raw materials is the page where every component you build with lives, whatever kind it is. One table, one search field, and a set of filters and views you control.

Above the table sit four counts for your whole store, and each one is a filter — click it and the table shows exactly those materials:

The search field matches product name, variant name, SKU, vendor and the specifications text. It searches your whole store, not just the page you are looking at.

Filters are added from + Add filter and stack: vendor, product type, category, unit, Groups, Virtual material, Non-essential, whether the material is Unused or is Missing cost, and any of the number columns. Vendor, product type, category and unit offer the values already in your store as suggestions, and you can also filter on a value you type. To see only materials that come from Shopify, set Virtual material to No.

Saved views sit along the top of the table. All, Inventory and Virtual materials are always there. Anything else is yours: set up the search, filters, sort, columns and page size you want, then save it as a view and it comes back exactly that way. Views can be renamed, reordered, set as your default and deleted; the three built-in ones cannot be changed. Your default view is the one that opens whenever you come back to the page, and it is marked with a star in the row of views; the same menu offers Remove as default when you want the page to open on All again.

  • All is what a material is: image, name, SKU, available, unit cost, weight, and what uses it.
  • Inventory is where your stock has gone — the quantity columns side by side. See below.
  • Virtual materials is the same list narrowed to the materials Assemblified tracks itself.

Location narrows the stock columns to the locations you pick, without changing which materials are listed.

The stock questions get a view of their own, because showing every quantity beside every detail means a table nobody can read without scrolling sideways. Switch to Inventory and each material shows:

None of these is stock you can spend twice, and none of them is subtracted from Available for you: what a work order has already picked has left Available, and what it still has to pick has not moved yet. They tell you where your material is, not what is left.

Every quantity opens a card. Click the chevron on a number and it breaks down by location, and says what is holding the units: the orders (with a link into each one), the bills whose safety stock holds it, the products it is built into, or the work orders that picked it — each with its picked and still-to-pick split. Long lists show the twenty biggest and count the rest.

Display options opens the column picker. Show, hide and reorder anything in the list, including:

  • identity — image, name, SKU, vendor, product type, category, unit, and Origin (virtual, or backed by a Shopify variant)
  • money — unit cost, unit price
  • stock — available, residual, committed to orders, safety stock, allocated in shelf stock, allocated in work orders
  • flags — Non-essential, and Alerts when the Alertified connection is switched on
  • usage — how many finished goods and assembly bills consume the material, with their names in a popover
  • your own metafields — each definition you have set up appears as its own column

Column choices are part of the view, so saving the view saves them.

Click a row to open the material page. A material that comes from Shopify also shows a small link beside its name that opens the product in your Shopify admin — in every view. The ⋯ menu at the end of the row does the rest:

  • Edit — name, cost, vendor, unit and the rest, in one Edit material dialog. On a Shopify-linked material the fields Shopify owns are shown with a “Managed in Shopify” note and are not editable.
  • Restock — opens Restock materials for that material.
  • Add to group — put the material in one of your groups.
  • Refresh from Shopify — re-read the product behind a Shopify-linked material. Not offered on a virtual one, which has nothing to read.
  • Reconcile inventory — compare Assemblified’s own index with Shopify’s figures and fix the difference in either direction. Offered on Shopify-linked materials, and only while the local index is switched on. See Inventory tracking.
  • Delete — with a preview of what it would remove first.

Tick rows (or tick the header box and choose Select all matching) and the bulk bar appears. Export and Delete stand on their own at either end; the rest sit in four groups:

  • Material settings — Non-essential (with Enable and Disable behind it), Set unit, and Set vendor, type or category. Changing the unit on materials that recipes already use opens the unit-change dialog first, grouped by unit pair.
  • Inventory — Restock, Reserved quantities (multi-location shops only: it reconciles what open orders still hold in reserve in Shopify — see Order reservations), and Reconcile inventory.
  • Maintenance — Add to group and Refresh from Shopify.
  • Integrations — Configure alerts, when the Alertified connection is switched on.

Export gives you CSV, Excel or PDF of exactly what you selected.

Selecting all matching means “everything this search and these filters find”, not just the page on screen, so a change can cover thousands of materials in one go.

The title bar carries Create virtual material as its primary button, Export beside it, and the rest under More actions:

  • Create virtual material — one material, or a product with several variants at once. See Virtual materials.
  • Add from Shopify — pick existing Shopify variants in Shopify’s own picker and register them as materials. See Shopify-linked materials.
  • Import from CSV/XLSX — upload a file, map its columns, review, then create or update. See Importing materials.
  • Restock inventory — opens Restock materials for everything, rather than for a selection.
  • Manage groups — the groups your materials can belong to.
